ADMIN ASSISTANT 3

The UNM-Valencia Campus is seeking an Administrative Assistant 3. This is a grant funded position with current funding available through 08/31/2018. Performs and/or oversees a variety of associated administrative, fiscal, staff support, and planning activities, some of which require advanced or specialized knowledge and skills, such as budget administration and control, equipment, facilities, and inventory management, specialized record-keeping and database management, and/or specified information-gathering projects and tasks. Coordinates and facilitates meetings, program functions, and/or special events, as appropriate. Trains and oversees lower graded staff and/or students. May coordinate specified administrative activities and reporting across multiple organizational units within a department. Minimum Qualifications: High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified. Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis. Experience in/with: • Tracking, monitoring, and reconciling budgets using Excel Spreadsheets. • Working in a financial environment in purchasing, tracking department budget(s), expenditures, and have knowledge of basic bookkeeping principles and practices. • Scheduling and coordinating meetings, and events. • In working with youth or youth programming. • Purchasing and tracking expenditures. • Records and data base management. • Supervising Preferred Qualifications: Proficiency in: • Drafting, proofing, and editing correspondence. Ability to: • Accompany students on service projects, educational and cultural trips. • Work some Saturdays. • Bilingual; speak, read and write in English and Spanish. • Excellent oral and written communication skills.
