The Department of Radiology has an exciting opportunity for an experienced executive-level administrative assistant. As a member of our administrative team, the Administrative Assistant to the Director will directly support the Department Chair and leadership. The ideal candidate for the position will have experience working at the executive level in an academic or medical administrative office. The successful candidate will be able to act independently, with multiple ongoing priorities, and demonstrate exceptional skill at anticipating needs based on existing knowledge. The individual must be detail oriented, an experienced multitasker with a wide variety of technical skills, exceptionally well organized and outgoing. Reporting to the director of publications, the acquisitions editor acquires content for publication, including soliciting manuscripts, working with authors to ensure high-quality articles and handling submissions for the Publications Department of the American Society of Radiologic Technologists, a national nonprofit association with more than 155,000 members. This position also proofreads, edits and fact checks materials; writes content; and obtains information and artwork for publication. Telecommuting, contract and remote work are not an option. ESSENTIAL DUTIES AND RESPONSIBILITIES: • Solicit manuscripts, review papers and publish the work of radiologic technologists and other writers. Implement and suggest author outreach initiatives. • Mentor writers or pair potential authors with peer mentors to ensure they meet expectations and requirements for publication. Develop materials to help improve submission quality. • Perform quality check within the editorial management system as part of manuscript intake and acceptance for ASRT journals, including blinding manuscripts, verifying completeness of submission and running plagiarism check. • Edit, fact check and proofread content for publications. Perform substantial edits and assist with production, as needed. • Track, secure, document and store reprinted image permissions for ASRT publications. • Manage the online ASRT Writers Community, including assigning posts, suggesting/implementing strategies to boost engagement and tracking/reporting participation. Monitor all ASRT Communities for article ideas and contact members when appropriate. • Administer manuscript submission/production systems for ASRT journals, including troubleshooting issues, running reports, implementing/coordinating changes and suggesting improvements. • Proofread and edit material originated outside of publications via editing tickets using ASRT house style. • Oversee book review processes for the journals and newsmagazine, including requesting materials from publishers and assigning reviewers. • Write material for ASRT publications, website, marketing efforts or projects, as assigned. • Monitor medical imaging and radiation oncology literature. Relay article ideas to appropriate sources. MINIMUM EXPERIENCE: Associate degree in English, communications, education and marketing or equivalent combination of education/experience in project management, professional writing and editing. Demonstrated communication skills, including ability to guide and mentor authors with diverse writing talents through edits of their work. SPECIAL QUALIFICATIONS: Must possess superior communication, organizational and analytical skills. Experience building relationships and guiding authors with a diverse writing talent. Must be highly proficient in multiple technology platforms and MS Office (Excel, PowerPoint, Word, and Outlook). Experience with content management and submission systems is preferred, as is familiarity with Associated Press and American Medical Association editorial styles. Curious and eager demeanor, process driven and flexible regarding assignments. Ability to work independently and remain poised in a highly professional work environment, while maintaining a remarkable flair for detail to achieve goals and meet deadlines.
